How do I create a custom field?

Admins can create custom fields. These new fields are available to all users of the CRM.

The Fields Dashboard shows all the current fields by module.

Select the module for which you need the new custom field.

Click on the NEW CUSTOM FIELD button

The Create Field page appears

There are a variety of custom fields you can create

Text Fields

  • This is the most common type of field.
  • Allows a string of text to be input as data
  • Label – name of field
  • Length – customizable from 1 to 255 characters
  • Also Create For – simultaneously creates a duplicate field in other modules
  • Data Validation – no

Integer Fields

  • This is the most common type of field for numeric data
  • Only allows numbers to be input as data
  • does not allow decimal entry
  • Label – name of field
  • Length – customizable from 1 to 9 characters
  • Also Create For – simultaneously creates a duplicate field in other modules
  • Data Validation – yes, only allows numbers to be input as data

Percent Fields

  • Creates a percentage type of field
  • Only allows numbers to be input as data
  • does not allow decimal entry
  • Label – name of field
  • Also Create For – simultaneously creates a duplicate field in other modules

Currency Fields

  • Creates a currency type of field
  • Only allows numbers to be input as data, including one decimal point
  • Label – name of field
  • Length – customizable from 1 to 16 characters
  • Also Create For – simultaneously creates a duplicate field in other modules

Decimal Fields

  • Creates a decimal type of field
  • Only allows numbers to be input as data, including one decimal entry, rounds off after 2nd decimal number
  • Label – name of field
  • Length – customizable from 1 to 16 characters
  • Also Create For – simultaneously creates a duplicate field in other modules

Date Fields

  • Creates a date type of field
  • Only allows numbers to be manually input as date or use of the date picker
  • Label – name of field
  • Also Create For – simultaneously creates a duplicate field in other modules

Date/Time Fields

  • Creates a date/Time type of field
  • Only allows numbers to be manually input as date/time or use of the date picker
  • Label – name of field
  • Also Create For – simultaneously creates a duplicate field in other modules

Email Fields

  • Creates an Email type of field
  • Requires that an input is in email format (must have “@“ and end in “.$$$”
  • Label – name of field
  • Also Create For – simultaneously creates a duplicate field in other modules

Checkbox Fields

  • Creates a checkbox (boolean, true or false) type of field
  • Label – name of field
  • Also Create For – simultaneously creates a duplicate field in other modules
  • Enabled by Default – defaults the checkbox value to “true” during record creation

Phone Fields

  • Creates a phone type of field
  • Label – name of field
  • Length – up to 255 characters
  • Also Create For – simultaneously creates a duplicate field in other modules
  • There is no forced format for a phone number at this time

Pick List Fields

  • Creates a picklist type of field (only one answer allowed)
  • Label – name of field
  • Pick List Values – enter one per line for each pick list option
  • Also Create For – simultaneously creates a duplicate field in other modules
  • User First Value as Default Value – defaults the selection to first value during record creation

Multi-Select Fields

  • Creates a multiple select picklist type of field (more than one answer allowed)
  • Label – name of field
  • Pick List Values – enter one per line for each pick list option
  • Also Create For – simultaneously creates a duplicate field in other modules
  • User First Value as Default Value – defaults the selection to first value during record creation

URL Fields

  • Creates a URL type of field
  • input data must contain a “.” to be considered acceptable format
  • Label – name of field
  • Length– from 1 to 255
  • Also Create For – simultaneously creates a duplicate field in other modules

Text Area Fields

  • Creates a text area type of field (for long, paragraph type inputs)
  • Label – name of field
  • Also Create For – simultaneously creates a duplicate field in other modules

Long Integer Fields

  • Only allows numbers to be input as data
  • does not allow decimal entry
  • Label – name of field
  • Length – from 1 to 18 characters
  • Also Create For – simultaneously creates a duplicate field in other modules

Autonumber  Fields

  • Automatically numbers records as they are created
  • Field is hidden during create process
  • Field appears on detail and edit pages as a read-only field
  • Label – name of field
  • Prefix – assigns any string before the autonumber
  • Starting Number – establishes first number in sequence for the autonumber
  • Suffix – assigns any string after the autonumber
  • Preview – shows the user a real time example of how the prefix, autonumber and suffix will display on the records based on their inputs for Prefix, Starting Number and Suffix
  • Existing Records – will retroactively apply the autonumber also to any existing records in the database
  • Also Create For – simultaneously creates a duplicate field in other modules

  • Autonumber fields do not show until after a record is created
  • Autonumber fields are read only
 

To access the Create Field page:

  • Sign in
  • Click on your name at the top of the page
  • The User Dropdown menu will appear. Click on the Settings button
  • The Settings Page will appear, click on Fields under Customization
  • The Fields Dashboard will appear, choose the module type on the SHOW: MODULE dropdown
  • Click on the New Custom Field button
